Data exports and privacy requests
Export only what you need and understand the consequences of personal-data deletion.
Keep the export focused. If TopSoft4U accounting needs a billing summary, pick that report instead of handing over every customer conversation, visitor profile and CSAT response stored in Convor, which the recipient has no reason to inspect. Decide who can open the file and when it will be deleted.
Export selected information
Open Settings → Data. The export action opens a dialog for choosing what to include. Save the result in a controlled location and apply your organization's retention policy. Even a test-looking file may include customer information if it came from a live workspace.
Privacy access and deletion
The same settings area includes personal-data export and deletion actions. Deletion is irreversible and requires a separate confirmation step. Check your legal retention obligations before using it. Do not perform deletion experiments in a real customer's workspace.
Automate reports with the API
For a scheduled TopSoft4U report, use a documented endpoint instead of automating button clicks. GET Export conversations with messages streams messages in CSV or JSON. To select conversations by filters, use POST Bulk export conversations with filters. An overview of reporting metrics is available through GET Export analytics summary as CSV.
Check scope before sharing
Review the selected site and date range first. An export for one site can differ from an organization-wide report, and permissions may restrict which records are returned. Keep customer messages out of public issue trackers, and delete local copies when the business reason for storing them ends.
Verify the exported file
Before sharing a report, check its dates and record count. When TopSoft4U compares this month's results with last month's figures, use the same site and date filters in each export so the totals mean the same thing. Keep the file where only people authorized to work with customer data can access it.
You can also export from Analytics and review changes in the Audit log. Pick the source that actually contains the information you're investigating.
